Privacy Policy

Last updated: September 2026

Notary Day ("we", "our", "us") operates notaryday.app and its companion apps. This Privacy Policy explains what information we collect, how we use and protect it, when we share it with service providers, and the choices available to you when you use the service.

Information we collect

We collect information you provide when creating and using your Notary Day account, including your name, email address, phone number, business or notary information, and account credentials. Depending on the features you use, you may also enter job and scheduling information such as signing addresses, home base, appointments, mileage, expenses, profitability information, client or signer names, contact details, and notarial journal information, including identification details. You may also provide information through documents, notes, or other content you choose to store in the service. We collect limited technical information such as device type, browser, IP address, and service activity for security, reliability, and analytics. Payment information is processed by our payment provider, Stripe, and full payment card details are not stored on Notary Day servers.

How we use your information

We use information to provide, operate, maintain, and improve Notary Day, including scheduling jobs, calculating mileage and profitability, running CITT checks, route planning, generating invoices and reports, providing reminders, maintaining records, and supporting your use of the service. We may also use information to secure the service, prevent abuse or fraud, troubleshoot technical issues, communicate with you about your account or the service, comply with legal obligations, and enforce our Terms. We use information for purposes reasonably related to providing and operating the product and do not sell your personal information.

Service providers and data sharing

We do not sell your personal information. We may share information with service providers that help us operate Notary Day, such as hosting and infrastructure providers, email delivery providers, geocoding and routing providers, payment processors, analytics providers, and AI or document-processing providers. These providers receive only the information reasonably necessary for the service they provide and may process information on our behalf according to their own terms and privacy practices. We may also disclose information when required by law, legal process, or to protect the security, rights, or property of Notary Day, our users, or others.

Data hosting and processing

Notary Day's production application and primary database are hosted on infrastructure located in the United States. Because Notary Day uses third-party service providers to operate certain features, some information may also be processed by those providers in other locations depending on their infrastructure and services. We aim to use only the information necessary for each service.

Booking page privacy

Public booking pages are designed to expose only information necessary for clients to book with you. They do not expose your confirmed job addresses, client names, or full schedule. Clients generally see your public profile information and available booking times rather than your private job records.

Data security

We use reasonable technical and organizational safeguards designed to protect your information. Passwords are hashed using bcrypt and are not stored in plain text. Connections to the service are encrypted in transit using HTTPS/TLS. Production infrastructure is protected by access controls and firewall rules, and sensitive credentials and API keys are kept outside the application source code. We maintain backups to support service reliability and recovery. However, no method of transmitting or storing information can be guaranteed to be completely secure.

Data retention and deletion

We retain information for as long as reasonably necessary to provide the service, maintain your account, meet legitimate business and security needs, resolve disputes, and comply with applicable legal obligations. When you request account deletion, your account is placed into a soft-deleted state and is no longer available for normal use. Deleted accounts and associated data are retained for up to 90 days before permanent deletion from our active systems. This 90-day period allows for account recovery and protects against accidental or unauthorized deletion. After the 90-day period, the account and associated personal data are permanently deleted, subject to information we are required or permitted to retain for legal, security, billing, dispute-resolution, or other legitimate purposes. Information remaining in backups may persist temporarily until those backups are rotated or overwritten.

Your rights and choices

Depending on where you live and applicable law, you may have rights to access, correct, export, or delete your personal information. You may manage or delete certain information through your account settings or contact us using the email address below. You may also contact us with questions or requests regarding your personal information.

Information you enter about others

Notary Day may allow you to enter information about clients, signers, borrowers, or other individuals in connection with your notarial and scheduling activities. You are responsible for ensuring that you have an appropriate reason and, where required, authorization to collect and use that information through the service. You should not enter information that is unnecessary for the intended purpose of the service.

Children's privacy

Notary Day is intended for professional use by adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.

Changes to this Privacy Policy

We may update this Privacy Policy as the service, our practices, or applicable requirements change. We will update the date shown at the top of this policy when changes are made. Where required, we will provide additional notice of material changes.
